The app speaks your language.

No jargon from someone else's trade here: in your account, each piece of work is a Installation.

Types of work already set up in the catalogue:

Air conditioning Heat pump Solar panels Boiler Ventilation Maintenance contract

Certificates, datasheets and statements — each with its own date.

In this trade the paperwork has an owner and a deadline: the technicians' credentials belong to the people, the datasheets belong to the equipment, the statements of responsibility belong to each installation. Scattered across emails, they expire in silence.

In Kwote you record each document with its authority, its expiry date and the response deadline of whoever owes it back to you. The files stay attached — PDF, photos, Word, Excel, ZIP and even drawings in DWG or DXF, up to 25 MB each.

Kwote warns you when an approved document is within thirty days of expiring, and credentials can be tied to each technician, because they belong to the person and not the company — the alert says who needs to renew. Each document has its own audience: just you, the crew out on the installation, or the client in their portal.

Roofs and sky

Nobody goes up on a roof with wind at forty.

A roof installation has two things the rain ruins: the work and the people. Kwote asks for the forecast at each installation's own coordinates — not the nearest city's — and gives back seven days, job by job.

Each day is split into morning, afternoon and evening: seven to one, one to seven, seven to eleven. It's the worst window that decides the day, because that's the one that sends the crew home.

  • Doesn't work outThunderstorms, snow, rain above five millimetres or wind above forty kilometres an hour
  • To watchRain from one millimetre, wind from twenty-eight, frost down to three degrees, heat from thirty-five
  • Works outEverything else, and always on the jobs you mark as indoor — consumer units, batteries, plant rooms

Kwote reschedules nothing on its own and doesn't warn the client for you. It shows you the week while there's still time to swap Thursday's roof for wiring a consumer unit — instead of discovering the wind with the crew already up the ladder.

30 days

before the warranty runs out, someone ought to call the client.

In Kwote each installation's warranty has a date, and there's a rule that asks the client whether everything is fine before it ends. That's the difference between a service sold and a complaint received.

After the installation

Selling the installation is half of it. The other half comes back every year.

An installed system is a client for ten years, if someone goes back. Panel cleaning, inverter checks, heat pump services: dates known in advance that get lost because nobody wrote them in the right place.

Annual maintenance that books itself

Each recurring maintenance has an interval in months: you mark one as done and the next is booked into the diary, tied to the installation and the client. Nobody has to carry the calendar in their head.

Maintenance contracts with an end date

A support contract is marked as recurring, with an interval, a value and an end date. The forecast normalises everything to a month so contracts can be added up: an annual contract of €240 counts as €20 a month, not €240.

The warranty that ends without warning

Panels, inverters and batteries have warranties with different dates. They're recorded with their expiry, and before they run out one of the twenty-two rules reminds you it's time to call the client — which is an opportunity, not a nuisance.

Equipment with a price history

Equipment bought three times or more in six weeks, with a variation above eight per cent, appears separately. It works for rises and for falls: a panel that has come down is margin you can pass on to the final price and win the next proposal.

Features

What Kwote holds on to for you.

  • A quote dictated at the site visitYou go up on the roof, see what the installation involves, and dictate the quote before coming down. The draft builds itself from the equipment and labour in your catalogue, at your prices.
  • Approval with a signature, not with a «go ahead»The client approves on the phone, with a signature and a record of who approved it and when. On a job worth thousands, the difference between a «yes» on the phone and a signed yes is everything.
  • Annual maintenance that books itselfThe maintenance sits as recurring work and the automation warns when it's coming up. The client gets the reminder, you get the work — every year, with no spreadsheet.
  • The crew records from wherever they areEach technician gets a link: they clock in, photograph the installation and write in the diary, from the roof or from the basement. No app to install and no paying per head.

Some of these features depend on the plan you're on. See what's in each plan.

Questions from people who install and maintain.

Does annual maintenance fit as a contract?

It does: recurring work with its own interval — every three months or every year — and an end date. The value is normalised to a month so it adds to the rest, and the upcoming-maintenance automation tells the client about each visit.

How does the warranty warning work?

You record the warranty against the job and the automation warns before it ends. It's the nudge to contact the client at the right moment — inside the warranty to fix, after it to sell the maintenance.

Can I attach the drawings and the datasheets?

You can. Documents accept PDF, images, Word, Excel, ZIP and drawings in DWG or DXF, up to 25 MB each, and stay tied to the job or the client they belong to — with the expiry recorded where there is one.

Can the client follow the installation?

By link: they see the progress and the photos you choose to make public, and at the end the review asks for itself. For an installation that sells on trust, the portal is half the way to the next referral.
