The month of someone who trains people

The ten-session package that died at the fourth.

«The client bought ten sessions in January. By March they'd done four, and you still think they're coming back.»

Sessions and attendance are recorded alongside the plan. When the plan reaches its end, you know — and there's a rule to propose the renewal before that.

«The 8th comes round and three people still haven't paid for the month. You have to write, and you hate writing that.»

The payment reminder goes out in your name, on the right date. You aren't the one asking for the money, and it's the same thing repeating every month at no cost to you.

«You booked the seven o'clock with two people at once, because the diary was in your notes app.»

Slots with a time, on your phone, alongside everything else you have on today — and with an automatic reminder to whoever is coming.

«The medical clearance was going to be brought in “next week”. That was three months of sessions ago.»

The clearance sits as a document with an expiry date and can be marked as a blocker: it appears in the list of what's holding the work up until it's handed in.

The plan, not the class

A ten-session package ends. A plan that renews doesn't.

Selling packages means selling the same client over and over: when the package runs out, there's always a month where they're «going to think about it» and don't come back. A monthly plan changes the question — instead of having to sell again, you have to give no reason to cancel.

Eight monthly plans, at €120€960.00
Two quarterly plans, at €300€100.00
One-off sessionsdon't go into the sum
Per month, guaranteed€1,060.00

Example figures. The €300 quarterly plan is worth €100 a month, not €300 — Kwote normalises recurring work to a month so plans can be added up without lying. Each plan gets an interval, a value and an end date, and the end date reaches you before it reaches the client: renewing two weeks early is a conversation, renewing after it's over is a fresh sale.

You sell a plan, not a class.

A one-off session pays for the hour. What pays the rent is the client who trains twice a week for eight months. And that client isn't lost because of the training: they're lost because of a month where the payment went unmade, nobody mentioned it, and the thing dragged on until there was no conversation left.

In Kwote a plan is recurring work with an interval and an end date, normalised to a month so it can be added up: a quarterly package of €300 isn't worth €300 a month, it's worth €100. Add up all the active plans and you have the one thing worth knowing in this business — how much of next month is already guaranteed before you start selling.

Slots with a time, not whole days

One-to-one at seven in the morning, group at half six in the evening, fitness assessment on Saturday. Kwote's diary holds appointments by the hour and shows what's outstanding for today. There's an appointment reminder automation, which in a business where the client's no-show is the hour you lose is worth more than it sounds.

The payment nobody wants to chase

Chasing money from a client you speak to three times a week is the most unpleasant part of this job. Kwote has two automations purely for that — reminding about the unpaid payment and flagging when it's badly overdue — and it's the app that writes, not you. The relationship survives because the conversation stopped being yours.

Profitability by type of programme

One-to-one, monthly plan, group, nutrition, fitness assessment, online. The hours each of them takes from you per euro received have nothing to do with one another, and almost nobody does that sum. Kwote groups the history by type and shows the real margin of each, so you know which you should be selling more of and which you should be putting up in price.

Prices per session, per hour or per month

Each catalogue line carries its own unit — session, hour, month, project — and that's the one that appears on the proposal and on the document the client reads. A ten-session package, a monthly retainer and a one-off assessment no longer have to fit the same shape.

The registration that lets you practise, and the clearance your client is supposed to bring.

Working as an exercise professional in Portugal requires a professional registration issued by the IPDJ, which expires and has to be renewed. Alongside it sit the personal accident insurance and the client's medical clearance — the document nobody remembers until the day someone is taken ill halfway through a session.

You pick fitness & sport at sign-up and Kwote brings this list ready-made, with each document's authority and what blocks the start:

  • IPDJProfessional trainer registration (TPTEF)Blocks the startLapses and renews
  • InsurerPersonal accident insuranceBlocks the startLapses and renews
  • ClientClient's medical clearanceBlocks the start
  • ClientContract or agreed plan

Three of the four block the start, and the medical clearance is the most interesting: it's the client's, not yours, and that's why it's the one most often left unhanded-in. In Kwote it appears in the list of what's blocking that programme, with the response deadline you gave it — it stops being something asked for once and forgotten. The IPDJ registration and the insurance have expiry dates, and Kwote warns you thirty days before either of them lapses.

Features

What Kwote does outside the session.

  • Plans that renew, counted by the monthMonthly, quarterly or yearly, with an end date. Kwote normalises everything to a month and shows you how much of next month is already guaranteed before you sell anything at all.
  • You aren't the one asking for the moneyTwo of the twenty-two automations handle payments: reminding about what's unpaid and flagging when it's badly overdue. Written by the app, in your name, without spoiling the relationship.
  • The clearance that never gets brought inIt's the client's document and it blocks the programme from starting. It appears in the list of what's blocking, with a response deadline, instead of being a request made once and forgotten.
  • The enquiry arrives with the frequency in itYour public page asks for the type of training and how many times a week. The enquiry lands in the pipeline already carrying what you need to propose a plan, not as a «how much is it?».

Some of these features depend on the plan you're on. See what's in each plan.

Questions from people who train others.

Does Kwote hold my IPDJ registration?

It does, and it comes in the list when you pick fitness & sport. You record the expiry date and Kwote warns you when there are fewer than thirty days left. The same goes for the personal accident insurance, which also has a term.

How do I keep on top of monthly payments without nagging the client?

There are two automations for that: one reminds about the unpaid payment, the other flags when it's badly overdue. The wording goes out in your name but you aren't the one writing it, and what's outstanding shows up gathered in your cash position instead of scattered across conversations.

I teach group classes and one-to-one. Do both fit?

They do, and it's useful that they're in the same place: Kwote compares the real margin of both. One-to-one, group, monthly plan, nutrition, fitness assessment and online are ready-made types of work, and the history is grouped by type.

Can I start with no commitment?

You can. The Free plan is free forever and asks for no credit card. You get an appointments diary, a catalogue, an enquiry pipeline, a public page and five quotes a month.
